1. About this policy

VivaCollabo ("we", "us", "our") believes the responsible collection, use and confidentiality of personal data is the foundation of a trustworthy internet. This policy explains what data we process, why we process it, how long we keep it, and what rights you have.

"You" means a visitor to our website, a customer of our products, or a user of a customer's VivaCollabo tenant. "Personal data" means any information relating to an identified or identifiable natural person, in the sense of the EU General Data Protection Regulation ("GDPR") and comparable local laws.

The same level of protection applies to all data subjects, regardless of where they live.

2. Our commitment to security

We apply reasonable physical, technical and organisational safeguards to protect the information we hold — including encryption in transit and at rest for anything sensitive, least-privilege access controls for our staff, and audited change management for our infrastructure.

3. Our commitment to fair use

We do not sell, rent or share personal data with third parties for their own marketing. We do not profile you or make automated decisions about you. The list of purposes in Section 5 is exhaustive.

4. Categories of data we process

Identification data — name, username, job title.

Contact details — email address, phone number, business address.

Purchase details — order ID, payment method, invoices.

Communication details — emails, support tickets, meeting recordings you send us.

Website usage — IP address, HTTP logs, referring pages.

Product usage — license validation, session counts, feature telemetry (only when enabled).

5. Why we process your data

To deliver our products and services and support you as a customer.

To process your payments (via our payment providers Stripe, Paystack, Flutterwave and bank partners — see their policies for details on their side).

To protect our services from misuse, piracy and fraud.

To improve our products through anonymous usage analytics you can opt out of.

To keep records required by law (tax, accounting, contract history).

To send you service updates, security notices and — where allowed — marketing about VivaCollabo products. You can unsubscribe from marketing at any time.

6. Who we share your data with

Our infrastructure providers, strictly under written data-processing agreements.

Our regional resellers, only when you asked to be contacted through a local partner.

Public authorities, only when a valid legal request compels us.

We do not transfer data outside your chosen data region without a lawful basis.

7. Your rights

You may request access to your data, correction of inaccurate data, deletion, restriction of processing, portability, or to object to processing based on our legitimate interest.

To exercise any of these rights, email [email protected]. We reply within one month.

You may also lodge a complaint with your local data protection authority.

We use strictly necessary cookies to operate the site, and — with your consent — analytics cookies to understand how it is used. See our Cookie notice for details and to change your consent.

9. Data inside VivaCollabo products

When you use a VivaCollabo tenant provisioned by your employer or organisation, that organisation is the controller of the data inside the tenant. We act as the processor and only handle that data on their documented instructions.

For customers on our cloud, we store your tenant data only in the datacenter region you selected at sign-up. We never move it to another region without your instruction.

For self-hosted deployments, all tenant data lives on infrastructure you control. We only receive license telemetry.
